Ocean Freight for Paper: What Must Your Quote Include?

The useful comparison is not simply the ocean rate per container. For kraft paper, grey board or other grades, compare the same cargo, delivery scope and loading assumptions. This guide is a purchasing checklist, not a live freight quotation.

Start with a load plan, not a container label

Send sheet or reel dimensions, net paper weight, package dimensions, gross package weight, stacking restrictions and unloading equipment. Ask the forwarder to confirm equipment availability and applicable container, terminal and inland transport limits. A high-cube container is not automatically the best choice for dense paper cargo.

Keep net paper weight separate from packaging weight and container tare. Under the applicable SOLAS requirements, the shipper is responsible for obtaining and documenting the packed container's verified gross mass. See the IMO explanation of VGM.

Compare the complete freight scope

Compare FCL and LCL on total delivered cost, handling exposure and inventory needs. Neither is always cheaper. Do not increase stock solely to fill a container without considering working capital and storage conditions.

Separate arrival estimates from delivery commitments

Request cargo-ready date, booking confirmation, terminal cut-offs, estimated departure, estimated arrival and final delivery planning separately. Customs clearance, transshipment, congestion and inland transport can affect the warehouse receipt date. Reconfirm the actual service at booking rather than relying on a permanent route-time table.

Name the trade term and location precisely

Specify the agreed Incoterms rule, named port or place and version in the contract. Under CIF, payment of freight to the destination does not mean that transit risk remains with the seller until arrival; the ICC Incoterms 2020 explanation distinguishes the risk-transfer point from the freight-paid destination. Have your forwarder check that the chosen rule fits the handover arrangement.

Confirm documents and protection before loading

Agree the commercial invoice, packing list and transport document details with the importer and broker. Origin evidence, certification claims and application-specific test records depend on the order and market; they are not interchangeable or universally mandatory. Confirm the document type and release process instead of assuming every transport document controls ownership in the same way.

Inspect container condition and document packing before dispatch. Specify moisture protection, load restraint and stacking for the actual cargo and route. Avoid a universal desiccant quantity or a promise of zero moisture damage. Record package condition at receipt and follow the agreed claims procedure promptly if damage appears.
